Vision, Mission and Objectives

Vision

The Student Affairs and Registration Department seeks to build bridges of trust between students and the University by providing high-quality administrative and organizational services that enhance the student experience and safeguard students’ rights in accordance with applicable laws and regulations.

Mission

The Department aims to establish the necessary administrative and organizational foundations, with a particular focus on safeguarding students’ rights in all aspects guaranteed to them under applicable laws and regulations. It also works in cooperation with the Registration Divisions of all University colleges in a spirit of teamwork and partnership to serve students effectively.

Objectives

  • Establishing a comprehensive database of all students admitted to and graduated from the University.
  • Providing high-quality services and a welcoming environment that reflects the University’s commitment to its students.
  • Keeping pace with technological developments while ensuring compliance with applicable laws, regulations, and instructions.

Duties and Responsibilities of the Department

  1. Monitoring the implementation of examination instructions, regulations, decisions, and directives issued by the Ministry and the University concerning undergraduate student affairs.
  2. Implementing orders and directives issued by the Ministry and the University Presidency in the areas of undergraduate student and graduate affairs.
  3. Responding to official correspondence received by the Department from the Ministry, cultural attachés, the University Presidency, colleges, departments, ministries, governmental and non-governmental institutions, and other relevant entities.
  4. Consolidating admission plans submitted by the colleges, preparing the relevant studies, and submitting them to the University Council.
  5. Reviewing and verifying admissions, transfers, and student hosting arrangements in coordination with the Registration Divisions of the colleges.
  6. Issuing official orders concerning student admissions, transfers, and hosting arrangements.
  7. Coordinating with colleges and other relevant authorities to verify the authenticity and validity of academic documents submitted by admitted students and University graduates, based on requests from beneficiary institutions.
  8. Notifying the Ministry / Department of Studies, Planning and Follow-up of cases involving forged academic or university documents discovered by the colleges.
  9. Issuing University graduation orders for morning and evening study programs and for both examination rounds, based on the administrative orders issued by the colleges.
  10. Conducting field visits to the Registration Divisions of the colleges to facilitate direct interaction, assess work practices, and assist in resolving any identified problems.
  11. Organizing meetings and workshops for Assistant Deans, Directors of Registration, and Examination Committees to improve performance.
  12. Proposing and, where feasible, implementing activities and training programs aimed at developing the skills of registration staff and examination committee members in the colleges.
  13. Preparing studies and proposals concerning the performance of Registration Divisions and Examination Committees in accordance with examination instructions, regulations, and directives of the University Presidency.
  14. Supervising and following up on the application process for evening study programs in the University’s colleges, announcing admissions, and distributing admitted students among colleges and departments after obtaining the necessary official approvals.
  15. Participating in audit and investigative committees related to student affairs.
  16. Developing the capabilities of staff, particularly through training and professional development programs proposed by the University or the Department, as well as through participation in official meetings related to the Department and the University.
  17. Certifying the academic documents of graduates of the University’s colleges in undergraduate study programs.
  18. Sending lists of graduates from the University’s colleges to the University website for publication based on the data provided by the colleges, and providing the Ministry of Health with graduation orders for graduates of medical and health-related disciplines.
  19. Using electronic systems and programs in administrative work, including electronic archiving of correspondence and the use of email for official communication with institutions inside and outside Iraq.
  20. Receiving students and their parents or guardians, listening to their academic concerns, and working to address them in accordance with applicable instructions, regulations, and directives.

Department Management: Duties and Responsibilities

Department Director

Based on the University Department Directors’ Delegation of Authorities Manual, the Department Director shall exercise the following powers to facilitate the proper conduct of work:

Duties

  1. Distributing tasks and responsibilities among the employees of the Department.
  2. Approving regular leave for periods not exceeding ten days and certifying sick leave.
  3. Recommending approval of regular and sick leave exceeding ten days, in addition to study leave.
  4. Supervising the performance of work within the Department and monitoring the activities of its employees.
  5. Recommending disciplinary action against employees who fail to perform their duties adequately.
  6. Proposing letters of appreciation and recognition for outstanding
